Text reports

Regardless of the report formats offered, you can compile your own text reports using many placeholders, which are also available for the reporting folders.

Prerequisites

To use the text reports, you must have booked the "Financial Report Generator" add-on.

Make sure that the rights for "Reporting folders" and "Text reports" are set in the rights profiles under "Finance - all rights".

Create a text report

Call up the text reports under Finances > Reports > Text reports .

You may receive a message at the bottom left that the editor must first be downloaded. Click on the link and follow the instructions.

Once you have successfully installed the editor, add your own text report by clicking on the button with the same name.

Fill in the yellow mandatory fields.

Create your own category under "New". This will make it easier for you to differentiate later if you have created a series of text reports. Otherwise, select from existing categories.

Click on"Add" (1) to create a new category. Name it (2), save and go back by clicking on the arrow (3).

You can now select the newly created category (1). Save (2) and then click on"Edit content".

An empty text report opens. In the right-hand column you will see the placeholders available for selection.

If you click in the yellow area, the placeholders are displayed grouped by topic.

You can use the formatting tools and placeholders to create a visually appealing text report. The individual icons are explained in more detail by mouseovers.

Combine as many placeholders and free text as you like.

The preview function

If you are working with placeholders for balances, you can use the preview icon to display balances with a different reference date. To do this, click on the preview icon.

By default, the current date is set as the reference date.

If you would like to see the figures for a different date, select it using the calendar icon (1). Then click on Refresh (2). The figures are displayed according to the new reference date (3).

Repeatedly clicking on the preview icon (4) takes you back to the text report screen.

Save and close your newly created text report.

Use the small arrow to return to the overview.

Your newly created text report is displayed.

Working with text modules

A special feature of the text reports are the text modules, which further simplify the compilation of text reports. You will find the call for this under Further actions:

To create a new text module, click on "Add".

A form similar to the one for creating new text reports opens.

Fill in the mandatory fields highlighted in yellow (1) and save (2). Then click on "Edit content" (3).

The text editor opens and with it the form for the new text module.

Copy/paste the desired text or enter it manually. The placeholders familiar from the text reports are also available here. The text module can contain several pages of text, a few words or lines or a series of placeholders. In our example, we have copied a general wording for the withdrawal policy and supplemented it with placeholders from our own company.

A click on the icon (1) shows all existing text modules (2). These can be combined with each other to create new text modules.

When closing without first explicitly saving, a save prompt appears. Answer this with "Yes".

You are now back in the form for the individual text module. If you do not want to add anything here, click on the small arrow to return to the overview of text modules.

You will now see the text module you have just created.

Save selection as text module

If you are in a text report or in a text module from which you only want to transfer a part as a single, new text module, select the desired text module (1).

Then click on the icon to create only the selected part as a separate text module (2).

The selected text is displayed in a pop-up window. Name it (1) and save it (2).

If you close the text editor and refresh the "Text modules" form, you will find the text module created in this way in the overview.

Inserting a text report into a reporting folder

Go to Finance > Reports > Reporting folders .

Create a new reporting folder by clicking on "Add".

Follow the instructions in the article"Reporting folders". The text reports are available for selection there and can also be output in a reporting folder. The example below shows the newly created text report in the format of the reporting folder. However, it can also be just one of many reports in a more extensive reporting folder.
