Invoice export
Using the Invoice export function in the Rebu menu, pre-assigned incoming invoices can be exported as postings in DATEV EXTF format.
Prerequisites
DATEV booking code
All tax keys used must be stored in the tax matrix with the corresponding DATEV key or DATEV key (reduced period).
Chart of accounts
If no DATEV posting code may be issued for certain accounts, set the DATEV automatic account setting in the chart of accounts for the relevant account.
You can still optionally enter a tax key when pre-assigning, but this will not be taken into account in the export.
Vendor
When an incoming invoice is entered, Scopevisio automatically creates the Supplier role for the selected contact. The vendor account number is also required for the accounting export, so the vendor role must be added to the contact before the document is verified.
Therefore, please check whether the vendor number is displayed in the Vendor column in Rebu before you start the account assignment.
Pre-assign
Entry time
Use the Allow account assignment after completion of the release process setting in the Invoice receipt settings to define whether the preliminary account assignment must take place before the release or can take place afterwards.
Enter account assignment
In document processing in Rebu, you can use the "Account assignment" button or the "Single entry" business object to pre-assign incoming invoices. In the DATEV EXTF export, the entries in the columns Text, Gross amount, Account, Tax key and two dimension levels are taken into account.
For reverse charge transactions, please ensure that the net amount is entered.
When entering the individual items, the total document amount is calculated automatically and cannot be entered separately from the total of the individual items!
Posting export default settings
In the Invoice receipt settings, use the Filter invoices in exports option to define the status from which invoices may be exported in the approval process.
All other default settings can be found directly in the export menu under Rebu > Invoice export.
Export EXTF
Export settings
In the status selection, you define whether invoices with the status Not exported and/or Reset and/or Exported should be taken into account in the selected period.
Please note: Documents already posted in Scopevisio can no longer be assigned to an account. For postings, the posting export is available under OpenScope > Import/Export > Export Datev posting records.
Use the period settings Invoice date or Creation date to select the period to be exported.
If the sales tax key is to be exported, select Yes under Use current DATEV key values from tax matrix.
If a separate export file is to be created for each invoice area - e.g. to assign different document areas in the target program - select the option Yes.
For the voucher text (posting text), you can select the First posting line or the voucher text.
If there are incoming invoices with preliminary account assignment for splitting to several accounts, tax keys or cost dimensions, the setting > Standard must be used in the Split behavior selection list.
Two export fields are available for the cost centers; you use the Cost 1 and Cost 2 selection fields to define which dimensions are to be taken into account.
Perform export
Use the mouse to select the lines from the proposed invoices that are to be exported. Select the Export EXTF button at the bottom left and specify the desired storage location in the subsequent dialog.
Checking and troubleshooting
If invoices with the status "Exported" have also been selected in the status filter, you will then see the current date and time in the Last export column and the status Exported in the Export status column. If exported invoices are not selected in the filter, they are automatically hidden if the export is successful.
If invoices could not be exported, the Last export error column provides information about the cause.
If an account assignment is missing, open the relevant invoices in Rebu and check whether the vendor has been assigned the role of vendor and whether all lines created in the individual entry have been assigned to an account.
After completing the account assignment, only the reworked invoices can be selected and exported or all invoices can be exported again.
If certain invoices are not to be exported, you can optionally remove them from the list or display them again using the Hide / Show function.
