Billing process - overview

Scopevisio enables you to create and manage orders, delivery bills, invoices and the associated correction invoices. Corresponding product and contact data is inserted into the documents from the master data.

Scopevisio ensures a continuous document flow from the quotation to the invoice, whereby you can continue to use the data for each subsequent document. For example, if you convert a quotation into an order, the relevant values are automatically transferred to the next document.

You can customize the layout of the documents to your corporate design using a free editor. Layouts and text modules can be addressed based on rules.
Documents are sent by e-mail directly from Scopevisio.

The document flow in Scopevisio

Scopevisio follows a document flow from potential to invoice or payment (provided that the relevant functional areas are licensed).

  1. Upstream of the actual billing process, you can control your sales via sales projects.

  2. As the first external document, you create a quotation and send it (from the sales project) to the customer.

  3. The customer accepts the quotation and this is converted into an order.

  4. This data can optionally be transferred to a delivery bill.

  5. You send the customer an invoice for the products delivered or services provided. The invoice data is also transferred from the preliminary stage.

  6. The invoice is optionally recorded and then posted or transferred to the accounting department.

  7. When the customer pays the invoice, the incoming payment is posted directly from the electronic account statement and assigned to the outstanding receivable [cleared].

  8. If necessary, an adjustment invoice (colloquially known as a "credit note") is issued for the invoiced amount or a partial amount.

Scopevisio offers the option of skipping individual process steps. For example, you can convert a quotation directly into an invoice or use the data from an invoice as a template for a (follow-up) order.

The process bar

You can see the document flow in the process bar at the top of the form. If you move the mouse over an object, relevant information and links are displayed.

If the transaction bar is not visible, select System menu (S icon top left) > My Scopevisio and then in the business object (GO) Transaction overview: Only show the transaction overview when a transaction is being processed.
