Set up authorizations

You can only assign profiles with administrator rights.

Adding a user profile

Select Organization > Administration > User administration: Manage users.

Double-click on the user you wish to give access to personnel functions.

In the User profiles area, select the Add button.

Under Application, select the entry Personnel and under Profile and Company, fill in the appropriate fields according to the respective selection lists.

After saving the form, the user in question will find the personnel functionality in their menu.

Setting up user-defined rights

If you would like to set up a user-defined profile, e.g. because you do not want to have all the rights for personnel, you do not have to set everything up from scratch.

Select Global > System administration > Manage user profiles and rights.

Select Personal all rights and click Duplicate. You can then edit the copy of the profile and give it a meaningful name.

Edit profile

Double-click on the copy of the profile. A personal opens, which displays the individual authorizations and indicates whether only read or read and write rights are associated with it(display = write-protected; edit = with read and write rights).

Personal all rights includes access to all Personal functions:

Click to switch a check mark to a stop symbol. This allows you to withdraw a right from the relevant user, for example the right to edit organizational charts or jobs.

Once you have saved the new profile, you can assign it to users as described above. It is offered under Profile in the selection list.

Employees

Select Personnel > Employees.

All persons who have the contact role Employee in your instance are listed in the form of a contact list.

To call up the employee details, double-click on the person. Select an employee and use the buttons at the bottom of the screen.

The following actions are possible:

Add employee

A form for entering a contact with the Employee role opens. Here you can enter all the details of the employee that you need for your personnel management. This includes, among other things

  • Personal details

  • Qualifications

  • Wage and salary data

  • Working hours

  • Documents assigned to the employee, e.g. employment contract, etc.

In the working hours section, you can enter an hourly billing rate, among other things. This is highly recommended if, for example, you want to include the labor costs in your contribution margin calculation.

You can use the small +/- signs to record changes to working hours, for example if an employee changes from full-time to part-time or if the vacation policy changes.

The wage and salary data and working hours can be used in project management for project costing and resource planning. This is the advantage of a standardized database.

Enter activity key

If you click on Edit next to the Activity key field under Personal data, you will be taken to the Activity key form, where you can create an exact key for the employee's activity.

If you click Select again here, you can choose from an extensive list of activities.

Edit employee

Select an employee in the list and click on Edit. This takes you to a form where you can view and change the employee's data.

Remove employee

Select an employee in the list and click on Remove. A warning appears. If you confirm this, the employee will be deleted from the contacts.

Duplicate employee

Select an employee in the list and click on Duplicate. A form appears in which you can enter the employee's data. Unlike with Add , the data fields are filled with the details of the employee you have duplicated.

This procedure is suitable if you are hiring several employees with similar parameters, e.g. five new student assistants. This means you have less data entry work.

Assigning employees (to a project)

Select an employee in the list and click on Assign employee. A form appears on which you can link the employee to a project.

Jobs

Show jobs

Select Personnel > Jobs to display a list of jobs.

You can add, edit, remove or duplicate jobs using the buttons below the list.

Define job

You can define a new job via Add. It is often better to duplicate an existing job and change the details of the duplicate to match the new job to be created.

Select a job and click Edit to complete the job details, job description and manager.

All three buttons will open the form shown below.

Organizational chart

Select Personnel > Organizational chart. The organization chart provides a view of the company based on functions and hierarchies (so-called organizational nodes).

If you select a node on the left, details of this node are displayed on the right.

Nodes can be moved using drag & drop and expanded and collapsed using the +/- signs on the left.

Adding locations

Click on a plus sign in an organizational node to add an element.

Select the Assign jobs and employees link at the top right to call up a list of employees. You can then simply drag an employee to a job using the mouse.

Nodes/jobs to which an employee has already been assigned are highlighted in green.

If you want to remove an employee from a job, click on the red cross symbol at the top right of the corresponding job field. You can then fill the position with another employee.

Evaluations using the organization chart

You can use the organization chart to provide evaluations based on organizational nodes in the hierarchy. This is particularly useful for sales. You can define sales teams and distribute potentials and offers to the sales teams, for example.

The line manager automatically inherits the rights of each of their employees. Different sales teams, including the sales manager, can only see the processes relevant to them. The sales manager of team A cannot see the results of team B.

In addition, Scopevisio personnel administration documents the history of employment relationships and provides access to data required by the HR department.

In your quotations (or potentials), members of your sales team are specified as the responsible agents (in our example, Sales North).
