Data sources

Use Scopevisio as a data source in conjunction with Microsoft Power BI, Excel or other reporting programs and create reports, pivot tables and charts. In contrast to many other programs, Scopevisio offers you the option of setting up additional, self-defined reports in addition to the integrated, predefined reports.

For example, you can continue to use your usual Excel evaluations and pivot tables, which you use as controlling instruments, with real data from Scopevisio. Additional, completely individual reports, e.g. for project controlling or forecasts, are also no problem.

The source data can be updated automatically once the link between Scopevisio and your controlling tool has been set up.

Set authorizations

Two authorizations are required to be able to work with data sources:

  1. The general right to use data sources,

  2. and the right to the specific objects that you want to use as a data source, e.g. journal or quotations, etc.

These authorizations are assigned to the user profiles . You can find them under System menu → System administration → Users → Manage profiles for users.

General authorization for data sources

To assign the data source right to employees, it is advisable to create a profile that only contains this one right.

To enable data sources for other users, you need administrator rights.

  1. To do this, select Global → System administration → Manage user profiles and rights

  2. Click on Add.

  3. Assign a name for the new profile, e.g. Data sources.

  4. Now activate the right to view and edit data sources.

    1. The new menu item Data sources appears under OpenScope.

 

 

Assign data source right

The data source right is part of the Finance application. If the user does not yet have this, assign the Finance application via the Add button in the Application column.

This only works if you still have a free license for Finance. If not, you can book this in the shop.

 

  1. Open Global → System administration → User administration → Manage users.

  2. Double-click the user to whom you want to assign the authorization.

  3. Then enter data sources in the Profile column.

    1. If necessary, enter the company to which the authorization should apply in the last column. Save your entries.

 

Special authorizations for data source types

The data source authorization alone only means that the user is authorized to export information directly to Excel. Which information from the system the user can access must be set in separate authorization combinations. This means: The employee needs the appropriate user profile (if they do not already have one)

  1. Open System menu → System administration → User administration → Manage users.

  2. Double-click the user to whom you want to assign the authorization and assign the application, profile and company as described above.

Set up data source

The following description is based on the example of a profit and loss account.

  1. Click on OpenScope → Data sources.

  2. Create a new data source by clicking on New .

    1. You can also select a similar, existing data source and duplicate it in order to make the necessary changes.

    2. The Data source business object opens.

    3. Here you first define the settings for the data source retrieval, e.g. the time period for which the information is to be retrieved.

    4. Assign any password and a user name. This authentication is then requested each time the data is retrieved.

  3. Use the Configure columns link to specify the information to be imported.

  4. Under the Journal business object, you can configure the report you want to create.

  5. Activate the data source (see screenshot) and save your entries.

  6. After saving, you can copy it to the clipboard by clicking on the symbol next to the data source link (marked in the screenshot above) .

Please note that, unlike in the following video, you will find the data sources in the new ribbon under Organization → OpenScope → Data sources .

Integration in Power BI

You can integrate and use the data sources with Microsoft Power BI data sources just as easily as with Excel. There are even more functions available for individual reporting.

Merging multiple data sources

In principle, an unlimited number of data sources can be integrated in external reporting. For example, you can load data on billing documents in Table 1 and project data in Table 2 and then compile them in Table 3 to create an analysis that correlates the information from the various data sources. It is even possible to link the data with other data sources, e.g. Excel files from Teamwork DMS.

Scopevisio thus provides you with a very powerful evaluation tool for your company controlling.
