Create task from an e-mail
You can make arrangements to turn an email in Outlook into a task in Scopevisio with a single click.
Send a task to Scopevisio by e-mail
You have received an e-mail containing a task. Prepare it as follows:
In the e-mail subject, enter [Task] (in square brackets!) and the title of the task, e.g. Send quotation.
Optionally, you can enter the e-mail address of the contact to whom the task refers in the e-mail text (also in square brackets and with the word Reference: in front of it): [Bezug:martin.cebit@googlemail.com]. The e-mail is then not only stored in your tasks, but also in the contact.
The task is then displayed in Scopevisio and can be further processed there.
Create a task automatically using Quickstep
It is even quicker and easier to create a quickstep in Outlook. And this does not mean the dance step of the same name.
What is a Quickstep?
Since Outlook 2010, you can combine and automate a sequence of email actions in Microsoft Outlook. This allows complex sequences of steps to be executed with a mouse click or a key combination.
Open Quicksteps
In the Start tab of the Outlook bar, you will find the Quickstep area, which you can open by clicking in the bottom right-hand corner.
Select Quickstep category
In the window that opens, select New. For forwarding as a task, create a Quickstep of the type Forward to.
Name the quickstep
Name the quickstep "Task" and select Options.
Set up Quickstep
In the dialog box that opens, select Show options to expand additional input fields.
Then fill in the fields in the Actions area as shown in the illustration. It is important that you enter your personal Scopevisio e-mail address in the To field (if you have saved this in your contacts, this is very easy) and that you enter [Task] in the Subject field.
The other settings are optional.
When you are finished, save your Quickstep.
Note: The author has also created an e-mail folder called "Tasks" in Outlook and set the Move to folder action to this folder in the lower area in order to store e-mails from which tasks have been generated in a separate folder. However, this is not absolutely necessary.
Using Quickstep
The "Task" quickstep is now displayed on your Outlook bar.
If you now receive an e-mail with a task, select the e-mail and click on Task.
The task as an e-mail
An e-mail addressed to your personal e-mail address will open, in which you can update the subject if necessary and click on Send.
The task in Scopevisio
The task now appears in Scopevisio under your tasks, with today's date by default. It can now be opened and edited as required.
Create task via Office Connector
If you have subscribed to the Office Connector, you can also create tasks with a click of the mouse.
To do this, switch on the connector, select the e-mail and click on Task.
Outlook indicates that a task has been created from the email by highlighting it in color.
