Export DATEV posting records

Transfer of data to the tax consultant with the DATEV export functions.

Note: Please note that the number of postings per export run is currently limited to 50,000. If you want to export more postings, you should create several exports.

In the export area, the discontinued DATEV mailing format has been replaced by the current DATEV format. This means that both imports and exports from and to DATEV are now fully possible.

Exporting DATEV posting records

Select Organization > OpenScope > Import & Export > Manage Datev imports/exports > Export Datev accounting records.

  1. Enter the client number and consultant number. You will receive these from your tax advisor.
    If the advisor number and client number are permanently stored in the company settings (Organization > System administration > Company > Manage company), these two fields are filled in automatically.

  2. Enter the accounting number. You can find more information on the billing number in the next section.

  3. The G/L account length for Scopevisio must not be longer than the DATEV length.

  4. Determine the area of your financial accounting that you want to export as described below.

  5. Select the data format EXTF, KNE or OBE. You will also receive this information from your tax advisor.
    Tip: If your tax advisor does not know his own data (especially KNE / OBE), simply make one export in KNE format and one in OBE format. The export is very fast - faster than the coordination with your tax advisor.

  6. Click on Preview. Here you also have the option of editing the assignments. Our Professional Service will be happy to advise you with individual recommendations.

  7. Check the data using the notes column and then click on Export.

  8. Specify where on your computer the data should be exported.

  9. Create a separate folder for each export, as files with the same name will be overwritten without prompting. Confirm your selection.

  10. Two files are created for each export and saved in the DATEV subfolder at the selected location

If you are using the DATEV EXTF format, you can now also adapt the file name of the export file. The new placeholder {Ressortnummer} is available for this purpose.

Determine the area of the financial accounting to be exported

  • Select whether you want to export posting data or account labels.

  • Activate the Export with tax key checkbox if you also want to export the DATEV tax key stored in the tax matrix.

  • Specify the details of the area:

DATEV billing number

The accounting number is used to specify how the data exported from Scopevisio is to be processed in the DATEV program.

The accounting number has the format nnnnYY and consists of 2 parts, the number itself nnnn and the financial year YY to which the data belongs.

Tip: In the case of a different financial year, the year in which the different financial year began must always be entered as the year number.

For the postings, the values 1 69 are valid nnnn values in the accounting number. These numbers can be freely assigned. If the available values in a year are exhausted, you can start again from the beginning. The last two digits of the payroll number represent the financial year to which the postings belong. The last two digits of the year are used.

Example: The accounting number for the postings from the posting period February 2013 is 000213 (the zeros in front are automatically filled by Scopevisio and therefore do not need to be entered).

When exporting the account labels, DATEV specifies the accounting number 99 for G/L accounts and the number 189 for debtors and creditors. As with postings, the last two digits in the accounting number are reserved for the financial year.

Example: The accounting number for the accounts receivable is 018913, as this data is imported into the accounting year 2013 in DATEV.

Note: In Scopevisio, the G/L and personal accounts are not historicized, so a master data set is valid for all financial years. For DATEV, however, a separation between the financial years is important, which is why the financial year must also be specified when exporting the account labels of G/L accounts, debtors and creditors.
