Outlook Connector

Customers can use the new Scopevisio Connector for Microsoft Outlook not only under Windows, but also with MacOS and as a web add-in. This means that its functionality is not limited to just one operating system or a local computer, as it can be accessed from any web browser with MS Outlook.

Assigning emails to contacts or projects in Scopevisio, creating tasks in Scopevisio, sharing teamwork documents from Outlook - all this is possible without having to open Scopevisio.

Prerequisites

In addition to a valid Scopevisio full license, an MS Office 365 account is required to use the connector.

Accessing the connector in Outlook

Click on Retrieve add-ins in the Outlook menu bar.

A window with a search mask opens. Enter "Scopevisio" there and click on the displayed result.

Click on "Add".

Once the connector has been added, you can close the window again.

You will now see the Scopevisio Connector in the Outlook menu bar.

Logging in to the connector

Click on the Scopevisio Connector call. This opens in the right-hand side of Outlook.

Enter your login data for Scopevisio. This is a one-off process.

Then click on "Sign in". A connection is established between your MS Office 365 account and Scopevisio.

Once you have successfully logged in, select the desired company (1) if you have been created as a user in different companies. All actions that you perform from the connector relate to this company. You can change to a different company by logging out and logging back in (2).

Working with the Connector

In this example, the actions associated with the various menu items relate to T&S Service AG.

The settings

First define what you want the Connector to display. To do this, click on the small cogwheel symbol.

Here you can define filter settings for tasks, projects and Teamwork documents. Save your selection.

Contacts

In the "Contacts" menu, you can search for existing contacts (1), create a new contact (2) or perform various actions (4) with the email previously selected in Outlook (3).

If you select "Assign file attachments", the attachments from the email selected in Outlook are displayed and can be individually assigned to the selected contact.

Projects

If you select "Projects", the projects created in Scopevisio are displayed. Here you have the option of assigning the file attachments of the selected email or the email itself to a project.

Tasks

If you click on "Tasks" from the Connector, you will be shown existing tasks to which you can assign the attachments of the selected email or the email itself (1). It is also possible to create a new task from the Outlook Connector (2).

Teamwork

Click on "Teamwork" to call up the folders created in Scopevisio. The documents in a selected folder are displayed in the lower part of the connector.

You have the option of creating or editing share links, sending them directly by email or opening the document from the connector without having opened the Scopevisio client first.

Teams

If you use Teams and work with teams there, these are displayed after clicking on "Teams". If you select one of them, the channels it contains are listed.

Prerequisite for the connection to team channels

In order to display the individual channels, you must have previously retrieved the email addresses of the channels once.

To do this, open the Teams application, go to Teams (1), click on the three dots of any channel (2) and then on "Retrieve email address" (3). You do not need to save anything else, just close the window.

Repeat this for all channels that you want to connect via the Scopevisio Connector.

You now have the option of forwarding the content of the selected email to a channel or publishing a new message in a team channel from the Connector.

When you select a new message, a window opens in which you can conveniently write something to a team channel from the Outlook Connector.
