REBU2GO

With the REBU2GO mobile app, you can check or approve invoices on the go. In Scopevisio, you can work with approval processes for incoming invoices that implement the dual control principle (separation of functions according to ICS).

Each user only ever sees the invoices and steps for which they are responsible. This ensures greater efficiency and overview as well as data and document protection.

Requirements

REBU2GO is personal. This means that the person who logs in only sees the invoices assigned to them for checking/approval.

If you know that you are authorized to check, but no invoices are displayed in the invoice receipt book, please contact your administrator.
The"Invoice receipt book (check/release)" right must be activated and assigned to the checker.

Logging in to REBU2GO

Select My Scopevisio (S icon/system menu> My Scopevisio) and click the Send link by email button next to STARTER2GO in the My Scopevisio2Go apps section to send the log-in to another end device.

If you do not use the e-mail link, click on STARTER2GO and select REBU2GO in the following window of your web browser:

Alternatively, you can also download REBU2GO directly from the App Store or Google Play Store to your mobile device.

We recommend working with the native apps on smartphones or tablets, as these make ideal use of the comparatively small screen surface.

Incoming invoices

After logging in, the Invoice Receipts menu item opens, provided you have selected this in the start screen settings:

Click on the symbol with the three bars (red box in the image above) to expand and collapse the menu:

The following numbering refers to the numbers in the figure below.

The Invoice receipts menu item is selected, the other menu items are explained in the following chapters.

  1. Here you can enter a search term for a full text search.

  2. The filter symbol opens the filter options shown in the red box.

  3. Tapping on the invoice preview opens its details and the approval process, as described below.

Invoice approval

Now switch to the Release menu item by clicking on any invoice.

The following numbering refers to the numbers in the figure below:

  1. Clicking on Release process shows the release process stored in the client (see box 1 outlined in red).

  2. You can add another reviewer to the approval process by clicking Add. A list of employees opens for selection. This is useful if you want to transfer responsibility to a colleague (e.g. in the case of vacation substitution).

  3. Depending on the current release type, you will see either Factual check or Payment release. If the invoice is factually correct or should be paid, you release this here. If this button is not yet displayed in yellow, you still have to make mandatory entries in the invoice assignment (see 6).

  4. If the invoice is not factually correct or should not (yet) be paid, a list will appear when you click on Reject (see box 4 outlined in red), from which you can select the type of rejection and a reason or add a comment yourself. Further details can be found here.

  5. With Notify , Scopevisio opens your connected e-mail program in order to draw the attention of added reviewers to the invoice in question (as under 2).

  6. Additional information about the invoice can be stored in the Invoice assignment area. Assign cost centers or projects to the invoice.

  7. If the information is shown in yellow, it is mandatory.

  8. Click on the document name to open a new window with the PDF view of the original invoice.

  9. The three bars open the submenu described below.

Invoice details

If you click on the Details menu item, the invoice details are displayed:

Receipts

Under Receipts, you can view the invoice document and upload and assign further receipts, e.g. rental contracts, agreements, etc.

Comments

Under Comments, you can link a comment to the incoming invoice. This is logged together with the document image. For example, you can instruct the accounting department to pay an invoice quickly in order to take advantage of a discount.

Contacts

The Contacts menu item provides access to your Scopevisio contact management with all associated information. You can restrict the view in the filter field.

If you click on a displayed contact, the submenu takes you directly to the associated file. There you can see its data, tasks, documents, e-mails, comments and notes that are saved on the contact, as well as the contact owner. You can export the contact as a vCard or display directions.

Of course, you can also create new contacts under this menu item (see numbering in the image):

  1. create new contacts

  2. change and complete existing ones

  3. write an e-mail to the contact

  4. call the contact

  5. create a task for the contact owner with reference to the contact. We recommend using the landscape view on a tablet for this.

Tasks

The third menu item, Tasks , provides access to a task list.

The tasks can be filtered by responsibility, contact, due date, start date, status and priority.

Click on one of the tasks to open its details, which - like the task itself - can also be edited from within REBU2GO. To do this, click on the details provided with a link or on the pencil symbol in the top right-hand corner.

Journal

The journal documents all events that have occurred in Scopevisio, such as comments/emails/tasks/time entries/deadlines and status changes to contacts/projects/assignments/assignees.

Documents

In the Documents menu item, you can access Scopevisio's document management system Teamwork:

  1. You can upload new invoices directly from your mobile device to the invoice receipt book. This is the default setting in REBU2GO.

  2. Here you can enter a search term for a full-text search.

  3. To limit the full-text search, you can filter on the collections available to you. The filter setting is displayed. The collection displayed is also the one to which new documents are uploaded (see 1).

  4. You can access your Teamwork web client via the Teamwork Weblogin link.

  5. Click on the document preview to display the document.

  6. Here you can see further information about the invoice, as well as the details of the approval process.

  7. Clicking on an empty space below the reference file opens a new form with general information, further details, comments, versions and the document preview.

Scopen

The Scopen menu item takes you to the Scopen form for a Scopevisio-wide full-text search.

Search your entire company in Scopevisio, as you are familiar with from the Scopevisio client application, according to the selected filter criteria. If you scroll through all content for a search term, you will see all elements that contain the term or character combination entered.

Settings

You can customize REBU2GO under Settings :

  1. In the Personal Scopevisio e-mail address area, you can set your e-mail agent. If you tick the checkbox, emails that you send from REBU2GO are automatically archived in Scopevisio.

  2. Here you select the menu item that REBU2GO displays as the start page.

Change company or log out

If you have created several companies in your instance, you can switch to another company from any menu item using the three dots at the top right. You can leave Scopevisio using the Log out button. You will also find links to the user manual and support here.
