Manage users
Anyone who wants to access data and functions in Scopevisio requires user rights.
These user rights are linked to licenses and profiles. The following describes how you can set up user rights.
This option is only available to users who have administrator rights.
Manage users
Managing users is one of the central administrative functions in the system. Select Organization > System administration > User administration > Manage users.
In the upper part of the form, you can see how many users are active and how many licenses are assigned or still available. In the table below, you can see the current users and can select users line by line to edit, remove or create them as contacts. A new contact can be created via Add.
You can easily save different filter settings as a work list.
Blocked users are normally displayed, while removed users are hidden. These can also be shown at the bottom left.
In addition, special rights are displayed in separate columns (e.g. administrator or payroll accountant).
Add or edit users
Click on Add. In the User ID section of the "User data" form, first fill in the yellow mandatory fields (1).
The e-mail (user ID) will be used to log in in future.
The signature (2) is permanently saved on the data object when the user creates or changes data; unlike the e-mail, it can no longer be changed.
Assign licenses
Select the required (and previously booked) licenses for the user in the Licenses area. If you are still in the old price model (existing customers), the fields will look slightly different.
As the licenses can come from different tariffs (e.g. test phase), also select the tariff model of the license (4).
You can add additional licenses via the Purchase additional licenses link. We explain how to purchase licenses in the article on the store.
Assign user profile
Users are assigned one or more profiles for each company. These user profiles combine read and editing rights in the context of a higher-level function concept.
The users created are offered as responsible persons in various processes (e.g. in task creation or in billing documents).
Conversely, if contacts are available for selection in the Responsible field who are not desired there (e.g. former users), you can call them up via Contacts > Persons. The corresponding contact is marked with a green tick in the Created from user contact column. Delete the contact from the contact overview.
In the User profiles area, select which applications (1) and rights (2) the user should have access to in which company (in the event that you manage several companies in one instance). Selection lists help you with the input.
Selecting configurations
You may have been supplied with configurations (settings). Check these so that they are applied to your users.
Write user invitation
In the Personal message area, you can optionally write a personal message to the new user, which will be sent to them together with the invitation email.
Save your entries. You can now close the form.
