Free text in invoice documents

You can add individually labeled fields to the table of items to be billed.

Show individual fields

Sometimes you want to add a field to an invoice, order or other document that is not included in the standard selection. This could be a serial number or an individual service period, for example. To do this, add the Free text1 or Free text2 fields to the table. Right-click on the column headings to select the new fields.

Placeholders for the fields in the layout

Now insert a corresponding placeholder with the name Free text1 and/or Free text2 at the desired position in the Word or OpenOffice document layouts you are using.

Individual table line

You can add your own description bar to an invoice item, e.g. a longer description, a heading or a subtotal.

Right-click on the column name and show the Type column.

In the selection list, you can now determine whether a product, a subtotal, a heading or a free text should be described in the row.

In contrast to the free text from point 2, the free text inserted in this way not only fills a cell in the table, but an entire row.

Select the desired type and fill the newly created row with the corresponding information.

Function extension for free text fields

Under System administration > System > Manage selection lists > Items , you can optionally define a selection list for the Free text1 and Free text2 fields, whose entries can be selected via a drop-down list for the respective item of the billing document. You define the entries for the selection lists under Document item Free text 1 or Free text 2.

Manual entry of any text in the item table is still possible.
