PayPal

This article describes the use of PayPal accounts in Scopevisio. It is assumed that you have already set up a PayPal account. Questions about PayPal are answered in the PayPal support area at https://www.paypal.com/home.

Exporting PayPal account statements

  1. Log in to PayPal and select the Activities tab.

  2. Set the desired time period for which you would like to download a PayPal statement.

  3. Select whether you want to download all transactions or only a specific type of transaction.

  4. Then select the Download link.

Download transaction list

  1. After clicking Download, you will be taken to the Download Transaction List screen.

  2. Normally you would select the Last download up to current date option. However, you can also set a specific date range.

  3. In the Select format field, please set CSV, comma separated.

  4. Then click on Download.

Important notes:

  • If umlauts are displayed incorrectly when importing the sales or the values in the Fee column are missing, change the coding from CP1252 to UTF-8 and import the csv file again.

  • PayPal transactions can only be imported if valid values are contained in the Currency column. The 3-digit ISO code of a currency (e.g. EUR, USD) is valid. Importing an empty column is also permitted. In this case, the local currency stored with the company is automatically set.

In the following dialog box, select the Save file option and click OK.

The account statement file is saved on your PC. From here you can access it later with Scopevisio. How this works is explained in the following sections.

Setting up PayPal in Scopevisio

Select Finances > Banks > PayPal accounts and click on Add account.

In the next form, use the selection aids to determine which posting accounts from the chart of accounts you want to use. You have several options for determining the posting text. These options may help you to set up suitable bank statement rules for your PayPal postings.

Important: A transit account ensures that postings (e.g. if you also use HBCI) do not overlap.

Open PayPal import in Excel

Select Finance > Banks > PayPal accounts > Account transactions

You can open the import file as an Excel file using the Open import data link in the PayPal account transactions form.

Show PayPal account transactions

If you now return to the PayPal Accounts form, your newly created account will be displayed.

Click on Account transactions. You can import your PayPal account statements via the Upload button.

After clicking on the Download button, select the previously saved PayPal account statement file and click on Open.

In the following form, all transactions are selected for import by default. You can use the checkboxes to specify which transactions you want to import. Click on Import.

Post PayPal statement

The booking lines are imported into Scopevisio. If you now open the PayPal account transactions again, you will see the transactions.

Select one or more lines and choose Edit, e.g. to add the person account.

In the following form you will see, among other things, a preview of the booking. If you want to edit it, select Edit booking.

This takes you to the entry form where you can add the person account.

Automated booking

By inserting the person account, the movement is marked as bookable. A green tick appears in the corresponding table column. If you click on Post, all postable movements are posted.

Automatic assignment

If you click on Automatic assignment, the appropriate customer is determined based on their e-mail address. The prerequisite is that this e-mail address is stored in their contact details.

Process incoming payments automatically - best practice

Sometimes you want to process many incoming payments at once. The following procedure is suitable for this:

  1. You can select the posting lines for which you want to set the same contra account with Shift+click.

  2. Now use the arrow (small triangle) in the contra account field to select the desired account (e.g. 8300)...

  3. ...and transfer the entry to the selected lines accordingly.

Note: There is a small restriction in that you must carry out this procedure per screen page, i.e. you cannot edit 20 pages in a single process, for example.
