Recurring tasks

Activities > Recurring tasks

Scopevisio users now have the option of creating recurring tasks via the "Recurring tasks" wizard. To do this, select an existing task under Activities > Tasks and create a template for the corresponding recurring task via Add WK task. Activities and notes are transferred directly and can be customized. Further details include the desired cycle (daily, weekly, monthly, yearly), the desired duration and the due dates of the tasks to be created in days.

Alternatively, recurring tasks can also be created as such in the recurring tasks worklist below the activities. In general, there is the option to have upcoming tasks generated automatically or to generate due tasks using a button.

As with regular tasks, the authorization to view/edit this new feature is also controlled via the rights profiles of the Contacts application: In the menu under Global > System administration > User administration > Manage user profiles and rights, select the Contacts - all rights profile, for example, and enable "Recurring tasks" for all users with this profile.

Billing: User-defined fields for receipts

Scopevisio billing has been expanded to include user-defined fields, which means that you now have various field types for individual entries in the billing documents*. As with the user-defined fields for contacts, tasks and projects, they are created via the system administration. The input options then appear under an additional tab in the item table during document creation.

Entries from these fields can flow directly into the document layout: To do this, a corresponding placeholder is defined in the settings of the user-defined field and integrated into the layout of the odt document template in {curly brackets}.

The fields (*) include potentials, quotations, orders, delivery bills, invoices and credit notes.

User-defined fields for vouchers retain their information when transferred to subsequent vouchers, just as recurring invoices pass on the contents of user-defined fields when vouchers are created. In your work lists, e.g. a customized offer list, you can use the defined fields as search or filter criteria.

NOTE: If you create a user-defined field as a mandatory field and do not specify a default value, the document can only be saved after a corresponding entry has been made! Mandatory fields to be filled in are highlighted in color. Please inform your employees where which information is mandatory.

DMS Teamwork: Files up to 500 MB

DMS Teamwork > Documents

Handling large files is made easier for Teamwork users: Documents and files up to approx. 500 MB can also be called up from the Teamwork interface and saved locally by right-clicking > Save as. Adequate system and network performance are required here.

Finances

Finance: Batch posting from the document worklist

Accounting > Posting > Document worklist

The voucher worklist now also offers the option of batch posting: By activating the "Use batch posting" option via the voucher worklist settings (>> Further actions), any items from the voucher worklist can be entered and combined in a posting batch. This means that the posting is carried out en bloc after reconciliation and with additional control: This means that different employees can be responsible for entering and posting postings. In this case, the voucher worklist is used for entry and posting is carried out via the Batch posting menu item.

Projects

Projects: Extended project number ranges

Global > Master data > Projects > Edit project number ranges

In addition to sales projects, Scopevisio offers various other project types for project organization in your company - this facilitates structuring, quick access to content and ultimately processing. This also includes differentiated project number ranges (1).

The new feature set gives you the option of customization, as you may already be familiar with from the document number ranges, for example: Choose from fixed elements such as project abbreviations and combine them with variable elements such as time or counter components to create unique sequences (2). After activating the function in the project settings of the master data, you can customize the number ranges.

Scopevisio2Go apps can be downloaded to mobile devices via the Apple App Store (iOS) and Google Play Store (Android). Alternatively, you can test and use the 2Go apps as a web app in your browser: You can also access our mobile apps with STARTER2GO via the login at scopevisio.com > My Scopevisio. In your Scopevisio desktop application, you will find the link to STARTER2GO under Settings (gear icon top right) > My Scopevisio > My Scopevisio2Go apps.

Set up online banking

System administration -> User administration -> Manage user profiles and rights

The administration of HBCI banking access in the "Global > Master data > Banks > Set up online banking" area is now protected by a separate authorization. The right is located in the profiles of the Finance application. Configuration and access can therefore be clearly separated for HBCI accounts.

The actual retrieval of transactions via the menu item Finances > Banks > Homebanking (HBCI) remains linked to the existing 'Homebanking' right.

System administration: E-mail administration

Renaming of the "Special e-mail addresses"

Global > System administration > E-mail administration

The previous "Special e-mail addresses" are now functionally designated as "Company e-mail addresses" and can still be configured via the e-mail administration in the system administration.

With this function you can, for example, allow your suppliers to send incoming invoices directly to your invoice receipt book. To do this, create a so-called mailbot under "Company e-mail addresses" and name it accordingly (e.g. invoices for company xy). The use of the e-mail address can be restricted to a few special contacts, special sender addresses or, for example, a specific contact role (Security area).

In order to consistently trace the import path of incoming documents, an "alias" can now be assigned for each e-mail address via additional data fields, which identifies the document origin.

System administration: User-defined fields

Alphabetical sorting of options

Global > System administration > System

With this update, an option for alphabetical sorting is added for user-defined text fields with fixed values (also called selection list or drop-down menu). This allows you to display displayed options in the order in which they are created or in descending/ascending alphabetical order. The settings can be found in the details of the user-defined fields within the system administration.

Sales: Campaigns

Sales > Campaigns

The Campaigns feature now provides you with a scope of up to 30 user-defined fields for filtering your target group when creating a so-called business object-based campaign. The information thus supplements the demographic and other sales-relevant CRM details with a variety of customizable criteria. As before, the campaign hit quality parameter allows you to adjust the severity of the decision: select contacts with a certain percentage of fulfilled criteria as a target group or require a complete match with the target group criteria for qualification.
