Dunning notices

Optimization of dunning run creation and mass mailing of dunning notices

We have taken care of the dunning processes and worked on optimizing them. Of course, we did this with a view to further increasing the efficiency of the workflows mapped in Scopevisio. Not only have we been able to save a few clicks when creating dunning runs, we have also made them suitable for mass mailing - if that doesn't make your work easier!

In detail, this means that we have added a new data field to the debtor role in the contact file, the dunning letter dispatch.

The default setting for this is Postal dispatch, which takes effect when new customer contacts are created. It can be changedunder System menu > Manage accounting > Dunning levels.

The new data field must first be filled in for your existing contacts. In the accounts receivable overview, we have created the columns e-mail and dunning letter dispatch in order to be able to assign e-mail dispatch to all accounts receivable with a stored e-mail address and postal dispatch to all others by making mass changes. Here we explain the procedure in detail.

In the "Reminders" form, you can display pre-filtered items by dispatch type. This allows you to create homogeneous dunning runs and print or send them directly, without any further detours.

Another new feature is that you can block selected items not only indefinitely, but also until a specific date. Scopevisio then uses algorithms to automatically calculate for you when the corresponding item may be dunned again.

Exchange rates

If you work with EUR as your local currency, you can now update the previous day's exchange rates provided by the ECB online at the push of a button or have them retrieved automatically! The corresponding button and the settings can be found at

Extension of the filters

We have expanded the document filters! Haven't you always wanted to be able to search not only by reference, file type or time period, but also by documents created by a specific user? Only display files createdby you at the click of a mouse ?Then this practical function extension is just the thing for you!

Improvement of the sharing dialog

Do you frequently share documents on Teamwork? Then you will benefit from the changes in the release dialog. These will make it easier for you to search for users, groups or collections to add. Put it to the test and you'll see how easy it is to share documents.

Tasks

Which activities that are assigned to certain tasks are now pending again? What has already been started or completed? In the "Tasks" form, you can now filter out exactly this status in the "Activity" business object, which you have defined under "My Scopevisio" in the "Activity status to be displayed" selection list behavior.

Activities

Would you like to see who closed a cash sheet with which closing balance and when? This action is now noted in the activity journal and can be specifically called up here using the filter setting. The prerequisite for this to be displayed is the right to view the cash register as well as closed cash sheets.
It is even more practical to be notified automatically when a cash journal is closed: Simply create an individual message profile and you will be notified by e-mail.

Keyword traceability: we have added the columns "Created by", "Entry date", "Changed by" and "Changed on" to the product lists, making the documentation even more detailed. This means you always have an overview of changes to your products!

As the tax offices have updated their data, we have also done this in our basic data. Therefore, please actively carry out an update!
Customers who are also active in Austria will benefit from this: We have added the relevant federal states and zip codes to the basic data. These are now available for selection in the various forms.

Make the project end date mandatory: You now have the option to do this in the project settings.

Text modules available for email subject

It's annoying when your documents sent by email don't reach the customer but end up in their spam folder by mistake! To prevent this from happening and to ensure that your message is correctly assigned by the recipient, we have created document type-dependent text modules for the email subject line, which can be individually supplemented with additional information using placeholders. No more unnecessary typing, no more copy/paste for meaningful subject lines for the document types invoice, credit note, order, offer, delivery bill, advice note direct debit, advice note bank transfer and reminder. The placeholders that can be used for this are {customer_number}, {ownGS_name}, {customer_number_external}, {customer_surname}, {customer_company_name}, {document_number} and {document_date}. For this, however, the curly brackets must be removed and preceded by a $ , whereas they must be adopted unchanged in an odt file.

No more guessing game: In the table overview of the invoice receipt book and the "Document data" business object of an individual invoice, you can optionally display the ordering party. This means you know immediately who in your company is the right contact person for queries.

Logging of events

Scopevisio complies with the GOBD! Therefore, the addition, deletion or conversion of document files is logged in the "Events" business object of the detailed form of an incoming invoice.

Customer number data field (external)

There has been a small change in the "Supplier/vendor" business object: we have replaced the "Contact number" data field with "Customer number (external)" - because you are listed with your supplier under the latter, which makes it particularly relevant for payments in combination with the invoice number.
The same data field can also be found in the vendor contact file.

Voucher worklist

We have added the document type to the conditions for the rules for supplier and customer (for invoice and credit note respectively), which can now be the same or different from the incoming/outgoing invoice.
In order to optionally streamline the overview of your documents, we have now also added the option to hide documents without verification in the settings for the document worklist.

Traceable from A to Z: From potential to credit note, you now always have an overview of the predecessor and successor in the object details of an open object in the document flow.

2GO apps

The functionality of the 2GO apps is getting closer and closer to that of the client: Navigate back and forth between the various addresses stored for a contact using a tab and edit the desired address data record.

API

Cancel receipts via the API? Import emails? We've made it possible with this update! The endpoints /journal/{documentNumber}/cancel and /incomingmail/new extend our web services.
In addition, POST /contact/{contactIdOrLegacyNumber}/assignMail, POST /task/{taskId}/assignMail and POST /project/{projectId}/assignMail can now also be used to assign emails to contacts, projects and tasks.
