Scopevisio gets a new user interface (GUI, UX)

Scopevisio last updated its user interface, also known as GUI or UX, around 6 years ago. Now the time has come again: last year Scopevisio put a lot of effort into developing a new user interface. This relates in particular to the menu and icon control. This has been undergoing live beta testing with selected customers since December. The forms (business objects, data fields) have so far only been slightly adapted. The old forms are gradually being migrated to the current form behavior. Scopevisio's new user interface is based on the world's best-known user interface for highly functional cloud application systems, Microsoft Office 365 Cloud as of 2019.

In the future, Scopevisio will continue to base its user interface on the further developments of Microsoft Office so that our many MS Office customers can get to grips with Scopevisio as intuitively as possible. We are offering the new interface in feature set 95 for familiarization via the "Coming soon" button. Minor changes and additions will follow before the official release, probably in feature set 97 (June). We recommend that you try out the new user interface now. All path details in this document already refer to the arrangement in the new ribbon. You can return to the old user guidance at any time in this preliminary version.

We refer to the menu navigation as the ribbon. The original left-hand menu has been replaced by a modern ribbon above the workspace. The previous icons have been replaced by new ones. At the same time, the menu structure with superordinate main functions has been completely revised.

The new ribbon can be customized by the user in terms of both the scope displayed and the view type - similar to MS Office.

Contacts

As part of the new user interface, the display of the person type "Person" in the contact list has also changed: Instead of the generic torso icon, their initials are now shown.

Invoice types

In addition to the previous individual invoices, down payment and budget billing documents as well as partial and final invoice documents can now be created and posted.

  • Previous documents can be displayed on the final invoice

  • VAT due on receipt of payment for down payment and partial payment invoices

  • Individual document layouts can be assigned to the invoice types

  • Correct posting to "VAT - not due" accounts for down payments and advance payments to protect liquidity and ensure correct VAT accounting

  • Automatic transfer posting in financial accounting for assigned incoming payments

  • Further supporting postings with creation of the final invoice

The new accounts payable workflow

Scopevisio has optimized the entire accounts payable workflow (invoice ledger, open items, release, banking, account assignment, posting, closing, reports). In particular, the invoice ledger and the release processes were delivered with the last FS 94 as completely newly developed solutions. Scopevisio has now made further optimizations to Rebu. Due to the very positive customer feedback, it is planned to switch off the old Rebu with FS 96 at the end of April. The following additions were made to the new Rebu in FS 95:

Invoice receipt book - entry screen: In the entry view of the new Rebu, a logical check of entered IBAN keys is now carried out. If entries are not compliant, a corresponding notification is sent to the person entering the data.

Tasks: Document-specific tasks can be created that automatically transfer the reference information for the contact, role, document type and document from the incoming invoice.

Incoming invoices business object: The vendor role now also offers the option of showing the "Incoming invoices" business object. Previously, this list, which also provides a quick overview of the booking and payment status, was only available in the supplier role.

Depending on the assigned project cost centre in an incoming invoice, this document is now also displayed in the project. You can activate this functionality as follows:

Display of adjustment postings: The digital document stamp displays "Corrected" if an adjustment posting has been made.

Rules: Using the rule action "Set specific vendor", a manually selected vendor can be assigned when an invoice is received.

Selection list - standard justifications: The selection list with justifications when rejecting a factual invoice verification or payment is now housed in its own "Invoice receipt book" grouping. The justifications can be individualized or deleted and, if necessary, restored via the menu item "Further actions > Restore entries".

2GO applications: In REBU2GO and BELEGE2GO, it is now possible to switch through the assigned documents in the open detailed view. This practical navigation option is supported by the new "Release and next" function.

Organization

Product types: With the new feature set 95, the product types in the master data have been renamed and expanded. The original designations product, service and contract are renamed 1:1 to goods, service and right . They are supplemented by the additional product type Material. Tooltips are displayed to explain these when hovering over them with the mouse. The inventory data of our customers is converted automatically.

New placeholder: If a product image has been stored in the master data, it can be displayed in the layouts of the potential, quotation, order, delivery bill, invoice and credit note documents using the {Product image} placeholder.

Manage imports: The batch import overview displays the date of the last successful import run in a new column.

OpenScope - Import/Export contacts: It is now possible to create contact information based on the "ID pre-system".

Projects

Credit notes: Unlike other invoice types, no invoice corrections can be generated from down payment and partial payment invoices.

Billing settings: A default processor can be defined for all document types.
The default processor is replaced/not replaced by the current user in the document entry via the following options:

  • "Do not set automatically": default processor is not replaced by the current user

  • "On transfer": manually inserted processor/standard processor is replaced by the current user in the subsequent process (e.g. order from quotation, credit note from invoice, etc.)

  • "Every time you save": the manually inserted processor/standard processor is automatically switched to the current user from every save process in document entry

The options set apply to all users.

Delivery bills: In the "Items" table, a pop-up appears when you click on the "Description" field for simplified text entry.

Finances

Monthly totals and balance list: In the monthly totals and balances list, debtors and creditors can also be displayed in alphabetical order. Double-click on an individual value to drill down to the corresponding account sheet.

Exports: Exports show header data with creation date, company, account type (account selection), financial year and display of monthly values.

Reminders: For the creation of reminders, the new placeholders {ItemAmount} and {IndividualOrderNumber} are available in the reminder table, analogous to the placeholders {Amount} and {OrderNumber} used in the text. The new placeholders work both in the "Creation per invoice" selection and in "Creation per customer".

DMS Teamwork

Owner: In line with the behavior in the Teamwork web client, documents can now also be transferred from the current owner to another active Teamwork user in Scopevisio Teamwork. To do this, go to your collections in Teamwork, select a corresponding document, right-click on the document name and select "Transfer owner".

Collection display: Teamwork collections are now displayed by default in the form and no longer in the menu. This allows multiple document tabs to be displayed simultaneously next to their respective collection.

Activities

Activity journal: The actions Add, Remove, Change dimensions in the organization chart now trigger an entry in "Recent changes".

API

It is now possible to set the employer based on the pre-system ID (legacyNumber).

The following fields can be output for all billing documents:
Introductory text (textIntro), closing text (textExtro), title, subtitle (textSubTitle), main address (selectedAddress), free address (otherAddress), delivery type (deliveryType), delivery costs (deliveryCosts ) and cash on delivery fee (cashOnDelivery).

Existing potentials and billing documents can be read and changed via API.

Import postings in batch (Batch) has now been extended to include G/L account, accounts payable and accounts receivable import in the same way as CSV import. This makes it possible to run the import of large data records in the background.
